MeCoach Privacy Policy

Effective Date: April 24, 2026

MeCoach is a structured AI coaching application. This Privacy Policy explains how MeCoach collects, uses, stores, and protects information when you use the mobile app, web app, admin tools, and support flows.

Information We Collect

Account information: email address, user ID, name, encrypted password, authentication state, and organization membership where applicable.
Coaching content: coaching messages, session transcripts, goals, action items, notes, journal entries, rituals, wisdom entries, session summaries, and coach memory records.
Voice data: voice recordings or audio clips when you choose voice coaching or voice dictation. Raw audio is used to transcribe or service the voice request; the durable coaching record is the transcript and related session data.
App activity: session activity, streaks, feature usage, progress records, backup/export metadata, and aggregate organization analytics where applicable.
Support information: support ticket content, reply email, app version, operating system, and related troubleshooting details you submit.

How We Use Information

To provide AI coaching conversations, session history, summaries, goals, actions, and follow-through.
To transcribe voice input and generate spoken coach responses when you use voice features.
To maintain your account, authentication, backup, export, restore, and deletion controls.
To provide support, troubleshoot issues, improve reliability, and protect the service from abuse.
To provide aggregate organization analytics without exposing private coaching transcript browsing in the admin product.

AI, Speech, and Service Providers

MeCoach may process coaching messages, prompts, transcripts, audio clips, and generated replies through service providers that help operate the product. These providers may include AI, transcription, text-to-speech, hosting, database, email, SMS, analytics, and support infrastructure providers such as OpenAI, Anthropic, Groq, ElevenLabs, Cartesia, Railway, Netlify, Resend, Twilio (if you ask us to text an app download link to your phone number), Google Analytics (website usage analytics), and Redwood Support. Providers process data to provide MeCoach functionality and support. MeCoach does not sell your personal information.

Security

MeCoach uses HTTPS encryption in transit. Passwords are stored using one-way hashing. Access to account data is protected by authentication controls. No internet service can be guaranteed perfectly secure, but we use practical safeguards to protect user data.

Retention and Deletion

We retain account and coaching data while your account is active so MeCoach can provide history, continuity, exports, backups, and future coaching context. You can request deletion of your account and associated data from inside the app or by following the instructions at Delete your MeCoach account and data. When deletion is completed, live account and coaching records used to provide the product are removed, except for limited records that may be retained when legally required or needed for security, fraud prevention, or compliance.

Your Choices

You can use text coaching without choosing voice recording features.
You can export your data from the Data & Privacy settings in the app.
You can delete your account and associated data from the Data & Privacy settings in the app.
You can contact support for help with access, export, or deletion.

Children

MeCoach is not intended for children under 13, and we do not knowingly collect information from children under 13.
